GENERAL JOB SUMMARY: The Finance Accounting Associate (FAA) is responsible for processes incoming mail for company. Assists with and acts as backup for scanning existing paper records into electronic storage for Billing Teams. Based on business requirements, the FAA will also assist with accounting department supporting the department for transactions. This position will also perform other duties within the billing office as assigned by Supervisor. FAA will file payroll and accounting transactions that are confidential. Will also help in accounting at the year-end binder for 38 companies.

Work Hours:

WORK HOURS: The normal full-time work week is 20 hours/week, Monday through Friday as scheduled (normally 8:00am to 5:00pm with a one-hour lunch). Part-time position work week is 15-34 hours/week as scheduled. Occasional overtime or variations may be required or authorized.

Education & Training:

EDUCATION AND TRAINING REQUIRED:

  • High school graduate (or equivalent)
  • Six months work experience preferred
  • Basic skills in using routine office equipment: computer, copier, fax, and telephone

Background Requirements:

BACKGROUND REQUIREMENTS: A personal vehicle, valid state driver’s license, vehicle insurance and a good driving record are required. Position requires travel and is authorized for mileage reimbursement.

Essential Job Functions & Duties:

  • ESSENTIAL JOB FUNCTIONS AND DUTIES:
  • Processes and distributes daily mail
  • Picks up mail at Post Office weekly
  • Maintains Record Retention records and record storage
  • Uploads weekly patient statement file to third party patient billing company
  • Mails notices as needed for Finance Director (FD)
  • Acts as backup to process incoming credit cards payments
  • Answers phones and follows up with inquiries for the company as needed
  • Assists with timecard review in the companies timekeeping software
  • Performs password resets for employees in ADP Workforce Now
  • Assists with Payroll transactions as needed
  • Assists with the yearend process for 38 companies
  • Copies, inputs, and creates spreadsheets for different companies
  • Creates multiple binders and makes copies and completes the items necessary to complete year end
  • Reviews incoming 1099’s for correctness and contacts vendors if amendments are needed
  • DOCUMENT SCANNING BACKUP
  • Prepares records for scanning by removing staples, checking condition of original and inserting new record inserts
  • Scans documents into electronic storage
  • Performs quality control review, if assigned

  • Alphabetizes and files

  • Pulls, photocopies, and organizes records as requested
  • Organizes and faxes materials

  • Interacts with staff members professionally
  • Follows company policies and procedures (time and attendance, appropriate attire, etc)

Working Conditions & Risks:

WORKING CONDITIONS AND RISKS: Work is indoors in a well-lighted, and seasonally heated and cooled business office. Job hazards are estimated to be minimal (low risk). Potential risk exists from accidents while using routine office equipment.

Physical Requirements:

PHYSICAL REQUIREMENTS: Must possess the physical ability to work while standing and moving about for long periods of time; work while sitting at desks and using computers for prolonged periods of time and must be able to lift approximately 50 pounds from floor to waist level occasionally (boxes of fax paper and copier paper and other similar supply items); good vision, good hearing and clear speech (all correctable).
